Refund Policy and Reply Guarantee

This policy explains pre-send refunds and the conditional money-back Reply Guarantee for eligible completed recovery runs.

Last updated: October 15, 2026

Effective date: October 15, 2026

Refund terms

Before sending starts

You may request a full refund by emailing hello@leadreclaimer.com. To qualify as a pre-send request, your email must be received before the first recovery email is submitted to the sending provider. Payment, outreach approval, connecting a mailbox, or placing an internal job in a queue does not by itself end this right. We use the time your request is received, not the time support reads or processes it. A recovery email already submitted to the sending provider cannot be recalled.

If Lead Reclaimer cannot start the service for a reason within its control and the first recovery email has not been submitted to the sending provider, you may choose either another attempt to start the recovery or a full refund. We review and submit pre-send refunds within the timelines below. A processing delay by support does not make a timely pre-send request ineligible.

The Reply Guarantee

For a paid $299 recovery purchased on or after October 4, 2026 while the Reply Guarantee is advertised, Lead Reclaimer will refund the full $299 if an eligible completed run has fewer than 2% unique genuine human replies. This is a launch offer. We may change or withdraw it for future purchases only. The terms in effect when you purchase will remain honored for that purchased run, even if the offer is later changed or retired.

Eligibility

An eligible run must meet all of these conditions:

  • At least 250 unique first-party historical leads are successfully contacted during that recovery run. Uploaded or selected leads, and total emails sent, do not determine this minimum.
  • You review and approve the outreach, keep an authorized mailbox connected, and allow the approved recovery to reach its scheduled end. This means you do not voluntarily cancel or stop the run early or disconnect mailbox access in a way that prevents completion.
  • Your records and use comply with the lawful-list requirements in our Acceptable Use Policy.

The contact minimum never permits sending merely to reach 250, bypassing safety or suppression controls, or contacting people who opted out. Normal stopping of follow-ups for a lead who replies, opts out, bounces, or is suppressed does not make the whole run incomplete, and each lead does not need to receive all three messages. A temporary pause does not by itself make a run ineligible if sending resumes and the approved recovery still completes by its scheduled end.

An automated safety pause or a service or provider interruption does not remove your pre-send, service-failure, or statutory refund rights. If an interruption prevents the run from reaching its scheduled end, contact support for the service-failure remedy described below. A genuinely incomplete run does not automatically qualify under the Reply Guarantee, but it is not automatically a blanket forfeiture of other refund rights.

Completed run and counting window

For purchases on or after October 15, 2026, a “completed run” is the approved 30-calendar-day recovery, including weekends, reaching its scheduled end. Purchases before October 15, 2026 retain their agreed service duration and the refund terms in effect when purchased, including the 14-day duration where applicable. This update does not change those historical purchased runs. A run is not completed merely because all uploaded leads have been considered or the final follow-up has been sent. The counting window begins when the first actual recovery email in that run is successfully sent and closes at the run's scheduled end. A reply received at that cutoff counts; a reply received later does not. All leads share the same scheduled run end. This does not promise a separate 30-day window, or a separate historical-duration window, for every recipient.

Purchase, setup, and approval dates do not start the reply window. An early stop or an incorrect status label does not shorten the scheduled measurement window. We verify the scheduled cutoff and actual send and receipt timestamps from relevant campaign, mailbox, and provider records. The calculation supplied for a claim will state the start, scheduled end, and timezone used. A dashboard “launched” or “completed” timestamp is not necessarily the event that controls this calculation.

How unique contacted leads are counted

For the manual guarantee review, a unique lead means one distinct recipient email address. We trim surrounding spaces and compare addresses without regard to uppercase or lowercase letters. Repeated rows, messages, and follow-ups to one address count once. A shared email address counts as one recipient, not several people, and records for the same underlying lead must not be split artificially to increase either count. This is a review rule and is not a claim that normalization is automated.

Each purchased run is assessed separately. Leads and replies cannot be pooled across recoveries. Uploaded or selected records and total messages do not establish the contacted count.

Successfully contacted leads

“Successfully contacted” means the provider record confirms that the lead's first recovery email was sent, not merely selected, queued, attempted, or submitted. A provider sent record is not proof of inbox delivery, an open, or inbox placement, and none is guaranteed.

A confirmed failed delivery or bounce of that initial email excludes the lead from both the contacted count and reply count. A temporary delivery delay later confirmed as successful is not a final failure. If a genuine reply reliably establishes that the initial email was received, a later follow-up bounce does not erase that contacted lead or reply. A lead who unsubscribes after a successful first send remains in the contacted count, but a click-only unsubscribe is not a reply. If delivery exclusions leave fewer than 250 successfully contacted leads, the Reply Guarantee minimum is not met. Other refund rights remain intact.

Genuine human replies

A qualifying reply is a genuine inbound human response to the recovery from an eligible successfully contacted lead during the counting window. Each lead counts once regardless of how many replies they send or their sentiment. A negative or not-interested response and a human-written opt-out request count. A reply does not need to show interest, produce a booking, or lead to a positive outcome.

A response from a different address counts only when reliable records match it to the original contacted lead or conversation, and it cannot also count as a second recipient. Automatic or out-of-office messages, bounces, and click-only unsubscribes do not count. Test or seed events, responses created by the customer or its staff, and fabricated or collusive events are not genuine historical-lead responses and cannot increase either count.

Evidence and timing of replies

The received timestamp in the connected mailbox or provider record determines whether a reply arrived in the counting window. A delay before the reply appears in Lead Reclaimer, a webhook delay, or later classification does not change that time. An event that arrived within the window but synchronized later will count after verification. A reply received after the scheduled cutoff does not count.

We manually review relevant provider and mailbox records. A missing Lead Reclaimer log is not by itself a reason to exclude an event when other reliable evidence verifies it. The workspace's “Interested,” “Recovered,” or all-replies totals do not decide guarantee eligibility, and the workspace does not automatically calculate eligibility or issue a refund. You may challenge a count using redacted dates or message headers. You do not need to send raw lead lists, passwords, access links, or card details.

Exact calculation

The reply rate is R divided by D, multiplied by 100. R is the number of qualifying genuine-human replying leads, and D is the number of unique successfully contacted leads in that run. We use the exact, unrounded result. A rate strictly below 2% qualifies; exactly 2% does not. We do not round 1.99% up to 2% or combine counts from different runs.

Four qualifying replies from 250 successfully contacted leads is 1.6% and qualifies for a refund. Five from 250 is exactly 2% and does not. Five from 300 is 1.666...% and qualifies. Six from 300 is exactly 2% and does not.

How to make a claim

After the run is complete, email hello@leadreclaimer.com from the account email where possible. If you cannot access that email, we will offer a reasonable way to verify your identity rather than automatically reject the claim. Include your business name and recovery reference if available. A missing reference is not by itself a reason to reject a claim. This policy adds no shortened claim-filing deadline; applicable legal time limits still apply.

We will explain the record basis for the decision, any eligibility condition not met, the contacted and reply counts, the exact unrounded rate, and the start, scheduled end, and timezone used. We will resolve disputed or missed genuine replies using the evidence rules above. The decision is not treated as unchallengeable, and legitimate dispute rights are preserved.

Review and refund timelines

Within five business days after receiving a claim, we will send the decision and calculation or identify specific information reasonably necessary to verify identity, the purchase, or relevant sending or reply evidence. If information is needed, we will explain exactly what is missing and complete the review within five business days after receiving it. We will not request arbitrary or unnecessary documents, and we will not delay solely because our own dashboard or logs are missing when other reliable evidence verifies the events.

Once a refund is approved, we will submit the full $299 refund to the original payment method within two business days. The payment provider or bank controls when the money arrives after submission. If the original payment method cannot accept the refund, we will explain the issue and use a lawful, verified alternative supported by the payment provider. This does not automatically remove the refund right, and we will not ask for sensitive card details.

“Business days” means Monday through Friday, excluding US federal holidays, calculated using UTC. The receipt or approval date is day zero. The next qualifying business day is day one, and a deadline expires at the end of the relevant day in UTC. This definition applies to every support and refund deadline stated in this policy.

Only one full refund is available for a purchase, with no fee deducted from the $299. A purchase already refunded or reimbursed through a payment dispute does not qualify for a duplicate reimbursement. This refund does not cover consequential losses or independent third-party fees.

Other refund rights and limits

After sending starts, refunds remain available where Lead Reclaimer cannot materially provide the purchased service or applicable law requires one. Provider involvement does not by itself remove an applicable service-failure remedy or an express refund obligation. After the first email is submitted for sending, there is no refund solely because you change your mind, receive little interest, do not obtain bookings or sales, or do not meet the Reply Guarantee conditions. This does not affect the Reply Guarantee, refunds for material service failure, or rights that cannot lawfully be excluded.

The Reply Guarantee is a refund promise. It does not guarantee sales, memberships, trials, appointments, revenue, positive replies, deliverability or inbox placement. Nothing in this policy limits rights that cannot lawfully be excluded. This shared policy governs the Reply Guarantee. Service, warranty, liability, third-party, or force-majeure terms do not cancel its express refund obligations.
